Introducing Workshop 1

Purpose

In the introduction, you will explain the Demand Strategy Builder (DSB) and how it helps create an Immunization Demand Strategy or a plan to increase immunization rates in zero-dose communities and communities with low immunization rates.

What You’ll Achieve

By the end of the introduction, you’ll have:

  1. Introduced the DSB and its purpose.
  2. Shared what the final Immunization Demand Strategy will look like.
  3. Shared the main objectives of Workshop 1.
  4. Introduced participants to each other and created a friendly, team-focused environment.

What You Need

Energizer

Time to start the workshop!

First, are there any opening remarks for the workshop? Once the opening remarks are done, officially start the workshop with Activity #1.

Facilitation Tip:

  • Remember: Be flexible how you open the session, and be sure to follow the cultural norms in your community e.g. starting with prayers or official remarks.
  • This might be new for many participants. Explain the steps clearly and use examples or visuals to help them understand.
  • If you aren’t able to present the Introduction to the DSB presentation, you can print the slides or use another method to share the same information with participants.

Activity #1: Introducing the Demand Strategy Builder

ℹ️ In this activity, you will introduce your team and explain the DSB.

How to Prepare

  1. Set up a computer to show the Introduction to the DSB presentation to explain the DSB to participants. Read the presentation in advance and remove the instruction boxes for how to use the presentation.
  2. If you don’t have access to a projector or electricity in the workshop, you can print the slides or use another method to share the same information with participants.

Facilitation Steps

  • Set the tone and introduce the workshop
    • Play local music as participants enter to create energy for the workshop.
    • Introduce the DSB to the group. For example, you could say: “Welcome to Workshop 1 of the Demand Strategy Builder! Today, we’re starting an important journey to increase demand for immunization in the areas that need it most. Together, we’ll create a practical plan based on community needs.”
  • Explain the Demand Strategy Builder:
    • Slides 4 to 6
    • Use slides four to six of the Introduction to DSB Presentation, or use your notes to explain what the DSB is. Keep it simple. You can say:
      • “The DSB is a step-by-step process that will help us work together to create a plan or strategy to increase demand for immunization in communities who have never been immunized, known as zero-dose communities, and communities with low immunization.”
      • “Working through the DSB process together, we will learn more about the real needs of the people we aim to help. Ultimately, we will design an Immunization Demand Strategy together based on real data from communities.”
      • “The process will help us develop new and innovative solutions to increase immunization coverage in zero-dose and underimmunized communities.”
      • “The process is fun and interactive, so we’ll work together as teams to build the strategy together.” </aside>
  • Show the process and final outcome
    • Slides 7 to 8
      • Use slides seven to eight to show what the outcome of the DSB is—an Immunization Demand Strategy. It’s important that participants see the Demand Strategy Template, so they understand what the outcome of the two workshops will be. Highlight the following information: “The strategy will focus on a few high-risk communities, identifying the key barriers to immunization in these communities, and solutions to increase immunization.”
      • Outline the key components of the demand strategy. If you can’t present the template, consider writing these components on flip charts:
        • Your Immunization Programme Objective: The main goal of your Immunization Demand Strategy
        • Priority Locations: The areas and regions that your strategy will target
        • Priority Communities: The key groups your strategy will support
        • Barriers to Immunization: An overview of the key challenges that prevent caregivers from vaccinating their children
        • Solutions: Simple and actionable steps to address these challenges
        • Indicators: Measures to track progress and success
        • Timeline: When each step will take place
        • Budget: The estimated cost for each solution
        • Funding sources: Where the money will come from to fund your solutions
        • Implementers: The people or groups responsible for the work
    • Slides 10 to 14
      • Use slides ten to fourteen to show the overall process of the DSB, and where the group is currently in it. If you prefer not to use a presentation in the workshop, you can print the slides or use another method to share the same information with participants.

Activity #2: Overview of Workshop 1

ℹ️ In this activity, you will explain the purpose of Workshop 1, its goals, and provide an overview of the agenda.

How to Prepare:

  • Print and distribute daily agendas to participants

Facilitation Steps

  • Introduce the goals of the workshop:
    • Outline the main goals of Workshop 1. You can say: “In Workshop 1, we’ll start to create the foundation of our Immunization Demand Strategy. Together, we will:
      • Identify priority locations and communities with the lowest immunization rates.
      • Explore the reasons for low immunization.
      • Develop a plan for collecting more data from communities in the field to better understand the barriers these communities experience.”
  • Explain the agenda of the workshop: briefly explain the two-day agenda for Workshop 1, showing how each session and module leads to developing the final strategy.
  • Position the workshop within the DSB process: remind participants that Workshop 1 is part of a larger process. This helps everyone see how their work fits into the overall goal of increasing immunization.

Activity #3: Introductions, Icebreakers and Ground Rules

ℹ️ This is an important moment! You want to create a welcoming environment, make your participants feel connected, and set ground rules for a productive workshop.

How to Prepare

  • Choose an “icebreaker” from the list available in Tip 4 in the Facilitation Tips.
  • Put up a blank flip chart.

Facilitation Steps

  • Facilitate participant introductions and icebreakers
  • Guide participants to introduce themselves briefly to build a sense of connection and teamwork. Ask everyone to share:
    • Their name and role
    • One unique thing they bring to this workshop, or a goal they have for the workshop
  • Lead an icebreaker activity to engage participants and make them feel comfortable (refer to the Icebreaker Suggestions in Tip 4 of the Facilitation Tips, if needed).
  • Establish ground rules
    • Set ground rules with participants to create a respectful and open atmosphere. You can do this by asking participants to make their own rules. Examples include:
      • Respectful listening and giving everyone a chance to speak
      • Constructive and collaborative feedback
      • Staying on time for each session
      • Encourage participation from everyone, especially quieter voices
    • Write the ground rules on your flip chart, so they can be referenced throughout the workshop.

Facilitation Tips

  • Set expectations early. Some participants might expect this to be a training workshop rather than a strategy-building session. Emphasise that the goal is to create an actionable demand strategy, not just learn about immunization demand.
  • Encourage questions about the DSB. After introductions, invite questions about the DSB to ensure everyone understands the workshop’s purpose and process.
  • Adapt to group dynamics as needed. Adjust the tone and structure as needed to fit the group’s dynamics.
  • Ask groups/tables to nominate a notetaker for the day to make sure all group activity inputs are captured throughout the workshop.
